# Billing & Pricing

AccessOwl uses a simple per-user pricing model. This page explains how billing works, what counts as a billable user, and answers common questions about invoices and plan changes.

## Plans

See our [pricing page](https://www.accessowl.com/pricing) for more details on our current modules and prices.

### Add-on Modules

| Module                                                                                                  | Price             |
| ------------------------------------------------------------------------------------------------------- | ----------------- |
| **Account Provisioning** — Automated provisioning to 400+ applications, no SCIM or SAML upgrades needed | \$2.50/user/month |
| **Spend Management** — ERP & accounting integrations, spend reports & savings insights                  | \$3.50/user/month |

Add-ons are billed on top of your base plan at the same billing interval.

<Tip>
  A common plan combination is **Growth + Account Provisioning**. This is often less than the cost of upgrading a single SaaS app to an enterprise plan just to get SCIM/SAML access.

## How Billable Users Are Counted

AccessOwl counts billable users based on your **Slack workspace membership**:

* **Full members** — counted as billable users
* **Multi-channel guests** — counted as billable users
* **Single-channel guests** — **not** counted as billable users

This number is retrieved in real-time from Slack via API. You can see your current billable user count at [app.accessowl.io/billing](https://app.accessowl.io/billing).

<Note>
  Only users with the **Org Admin** role in AccessOwl can view the billing page. If you navigate to the billing page and don't see any information, ask your org admin to grant you access or check on your behalf.
</Note>

### Why Slack Users?

Slack membership is a much better approximation of actual employees than Google Workspace, Microsoft, or other directory accounts, because it avoids counting service accounts, shared mailboxes, and distribution lists. In most cases this results in a lower — and fairer — billable user count for you.

### Slack "Billing Status: Inactive" Caveat

Slack hides users who haven't logged in for 30+ days as part of their "fair billing policy" and marks them as **Billing Status: Inactive**.

This means your AccessOwl billable user count may appear slightly higher than the number Slack shows in its admin console. To see the matching number in Slack, filter your member list to show **Full Members** and **Multi-Channel Guests** with any activity status (remove the "inactive" filter).

## How Billing Works

### Monthly Plans

Your subscription renews on the same date each month. The amount is calculated as:

**User fee × current billable user count = monthly charge**

If your user count changes, the next billing cycle automatically reflects the new count.

### Annual Plans

Annual billing is based on the user count at the start of your contract period. Here's how changes are handled during the year:

**If users decrease:** No credits or refunds are issued during the contract term.

**If users increase:** You are only charged for additional users beyond your baseline, calculated on a **per-month basis**. Only the months where you exceed your original user count are billed at the end of your term.

<Accordion title="Example: How mid-year user changes are billed">
  Say you start the year with **100 users** on an annual plan.

  | Month | User count | Extra users billed |
  | ------- | --------------- | ----------------------------- |
  | Month 1 | 110 (+10 users) | 10 extra seats                |
  | Month 2 | 105 (-5 users)  | 5 extra seats                 |
  | Month 3 | 85 (-20 users)  | 0 extra seats (no adjustment) |
  | Month 4 | 135 (+50 users) | 35 extra seats                |

  Extra users are always calculated against the **original baseline** (100), not the previous month.

## Invoices & Payment

### Payment Processor

AccessOwl uses **Paddle** as its payment processor. All subscription charges, invoices, and receipts are handled through Paddle.

### Payment Methods

AccessOwl only support payment via **credit card** in USD. You can update your card through the Paddle subscription management portal or by requesting a link from our support team.

### Invoices & Receipts

Invoices are sent automatically to the email address on file with Paddle. If you need:

* **A copy of a past invoice** — reach out to us via Slack and we'll send you a direct link
* **To change the invoice recipient** — contact us and we'll update it in Paddle
* **VAT handling** — add your VAT number to your Paddle receipt to ensure VAT is not charged on the invoice (this applies for EU cross-border transactions). Paddle doesn't always make this obvious, so feel free to ask us for help

### Billing Page

You can manage your subscription at [app.accessowl.io/billing](https://app.accessowl.io/billing). From there you can:

* View your current plan and billable user count
