# HRIS Setup

AccessOwl connects to your HRIS to automate onboarding and offboarding. The integration synchronizes key employee data such as manager, department, and role, which can be mapped to onboarding templates for a zero-touch experience.

We recommend connecting your HRIS to AccessOwl to ensure smooth, automated workflows.

## Setup

1. Go to [Settings → Directory Integrations](https://app.accessowl.io/settings?tab=directory-integrations).
2. Find the **HRIS** section and select **Connect**.
3. Search for **Rippling** and follow the setup flow.

If you’re unsure how to set up your HRIS integration, review the documentation below for an explanation of each setting and our recommended configuration.

  <Accordion title="Update Manager Information">
    AccessOwl imports each employee's manager information for these key reasons:

    * It streamlines access requests and approval workflows.
    * It is essential for Access Reviews.\
      If an employee doesn't have a manager listed, AccessOwl will treat them as an executive, meaning they won't need approval for their requests.

    You can manually overwrite manager information in AccessOwl by going into a users profile and selecting edit.

    AccessOwl creates user profiles for employees who don't already have one. Most users are typically added via integrations like Slack, Google Workspace, or Office365.

  <Accordion title="Exclude Users Without Company Emails">
    If your HR team uses personal emails for new employees:

    * Enable this filter to ensure AccessOwl only adds users with emails in your company's domain.
    * Helps maintain an accurate and organized user list.

    <Tip>Most companies decide to turn this setting on to ensure that no private email is accidentally used for an onboarding.</Tip>

  <Accordion title="Onboard Users Discovered in HRIS">
    <Warning>Set up an HRIS notifications channel by typing `@AccessOwl` in a Slack channel and following the instructions.</Warning>\
    When activated:

    * AccessOwl sends a notification when a new employee is added to HRIS with a future start date.
    * Your onboarding team can schedule onboarding and assign access or use templates.

    <Note>When this setting is off, AccessOwl does not start an onboarding for new hires discovered in your HRIS. This goes beyond muting notifications, no onboarding is created at all, so you will need to onboard those employees manually.</Note>

    <Tip> We recommend enabling it to get automatic alerts about upcoming new hires, making onboarding smoother for everyone.</Tip>

  <Accordion title="Offboard Terminated Users">
    <Warning>Set up an HRIS notifications channel by typing `@AccessOwl` in a Slack channel and following the instructions.</Warning>\
    When activated:

    * Employees are automatically offboarded on their last workday by default at 8 PM (local time). Time can be adjusted indivdually.
    * AccessOwl sends notifications about upcoming offboarding, allowing cancellations or rescheduling.\
      If connected to Google Workspace or Microsoft365:
    * The user's account is automatically suspended.
    * All access tracked by AccessOwl is revoked.

    <Tip>Only enable this feature once you are ready to use AccessOwl for offboarding across your organization. When active, AccessOwl will automatically offboard any employee whose end date is reached.</Tip>
