Rippling supports the HRIS Sync. It synchronizes the list of all employees, their departments, and managers into AccessOwl. It also allows for automated onboarding based on an employee’s start date and automated offboarding based on contract end dates.

Capabilities

HRIS Sync

AccessOwl integrates with HRIS platforms to automate employee onboarding and offboarding. It also syncs all employees to AccessOwl, including details such as their title, department, and manager.

Setup

  1. Go to Settings → Directory Integrations.
  2. Find the HRIS section and select Connect.
  3. Search for Rippling and follow the setup flow.
Rippling’s API is only available on certain paid plans.

Workaround if Rippling API is not available

If you do not have access to Rippling’s API, you can still automate onboarding and offboarding by syncing Rippling with Google Workspace. This integration passes employee data (such as manager, department, role, and custom fields) into Google Workspace, which AccessOwl can access and treat as your HRIS. We recommend creating custom fields in Google Workspace for start date and end date. AccessOwl will use these to trigger automatic onboarding and offboarding.

Steps

  1. Connect Rippling to Google Workspace
    You do not need to buy Google Workspace licenses through Rippling. During the Rippling-to-Google-Workspace setup, Rippling offers a checkbox to opt out of billing Google Workspace through them. The HRIS data sync into Google Workspace still works either way.
  2. Create custom fields in Google Workspace
    • Sign in to the Admin Console as a super administrator.
    • Go to Directory → Users.
    • At the top, select More options → Manage custom attributes.
    • Click Add Custom Attribute.
    • Create a schema and add fields:
      • start_date
      • end_date
  3. Map your Rippling schema to Google Workspace.

Finalizing the setup with AccessOwl

After syncing Rippling with Google Workspace, contact AccessOwl support and provide:
  • Schema name (shown as Category in the Google Admin Console)
  • Start date attribute name
  • End date attribute name
Where to find your schema name in the Google Admin ConsoleIn Google Admin, the schema name is displayed as Category. To locate it:
  1. Sign in to the Admin Console as a super administrator.
  2. Go to Directory → Users.
  3. At the top of the user list, select More options → Manage custom attributes.
  4. The Category values listed under Custom attributes are your schema names.

Once configured, AccessOwl will:
  • Automatically onboard employees based on the start_date in Google Workspace.
  • Automatically offboard employees based on the end_date.
  • Sync all other fields (department, role, manager) from Google Workspace.
